Tags are used to group similar items together. This can be useful for tagging a group of recipients so they can be targeted for simulated phishing training or enrolment in specific training courses. This knowledge base article will explain how to tag individuals or multiple recipients simultaneously.
To create new tags, please refer to our knowledge base article: How to create and edit tags.
Manual tagging of recipients
Manual Tagging is the quickest way to manage tags for specific individuals or small, custom groups. This method is best used when you need to select recipients who do not necessarily share the same department or location, allowing you to hand-pick exactly who should be included or removed from a tag.
- From the column on the left-hand side, click Address Book > Recipients.
Select as many recipients as necessary by clicking the empty space on each recipient line. You will see the recipient line change to a grey colour, and new buttons appear at the top of the page.
-
Click either ADD TAGS or REMOVE TAGS, depending on what you need to do.
If you select "ADD TAGS", you will see a green dialogue box from which you can choose the tags you wish to add. Click "SAVE" to update the selected recipients.
If you select "REMOVE TAGS", you will see a red dialogue box from which you can choose the tags you wish to remove. Click "SAVE" to update the selected recipients.
-
You can apply changes to all recipients within your filtered selection. You can filter by:
All (no filter).
By Tag (Click the tag at the top of the screen to view all recipients with that tag).
By Text (Search for recipients using the search box at the top-right corner of the recipients' table).
- By Tag AND Text (Combine both of the options above!).
Note: Even though existing tags are not displayed in either the green "ADD" or red "REMOVE" dialogue boxes when they appear, they will not be removed from your selected recipients unless specifically chosen. Furthermore, if you reapply an existing tag to the selected recipients, it will not be duplicated.
Batch add or remove tags from recipients
While manual tagging is ideal for quickly selecting specific individuals from your list, batch tagging allows you to manage large groups of recipients simultaneously based on shared criteria. Instead of selecting each person manually, you can use these tools to update entire departments, locations, or risk groups in a single action.
- From the column on the left-hand side, click Address Book > Recipients.
- On the Recipients page, you will see the 'Batch add tags' button located at the top right of the screen.
- On the Recipients page, you will see the 'Batch remove tags' button located at the top right of the screen.
- Within both the 'Batch add tags' and 'Batch remove tags' pop-ups, you are able to assign or remove tags based on specific criteria: recipient's position, department, division, location, and PhishEye risk score. These options are shown in the 'Field' drop-down menu.
- After selecting your field, you can select your Filter Value. This step identifies the specific data within your recipient details. For example, if a recipient's field is 'Department' and they work in 'Sales', you would type 'Sales' into the Filter value. For more information on how to edit your recipients details, please click here.
- After selecting the field and filter value, select the tag that you would like to assign to your selected recipients.
- After clicking apply, a pop-up will display the total number of recipients that will be affected. After selecting 'Yes', the changes will be applied.
Note: If the Filter value or Tags are left blank when selecting 'Apply', an error will be presented and no changes will be made. To ensure that your recipients are assigned the tags correctly, please complete all of the steps shown in the Batch Add/Batch Remove Tags pop-up.
