Please note: Training courses can take several minutes to begin after the start time has passed, this is entirely normal behaviour. Should it have spent more than one hour "waiting" after the start time, please double check your Time Zone Settings before raising a support ticket.
NOTE: Once a training course status is "Started" the training course cannot be edited.
Creating a training course within the Phishing Tackle platform is very simple. The wizard is designed almost identically to the Phishing Campaign wizard to be as familiar as possible.
This course will focus on our Security Induction video (available both with and without advice on password managers, depending on whether your organization uses them). The theory remains the same for videos, quizzes/surveys, and policies, so feel free to mix and match content.
- Click "Courses" under "TRAINING" on the main menu.
- Click "CREATE NEW TRAINING COURSE".
- Give the course a relevant description. This is only visible to admin users.
- You can also specify an End User Title and Description:
- If the end-user title is left blank the Admin User description (3) will be used.
- If the end-user description is left blank, either:
- The content description will be used (if only a single piece of content is used).
- A list of content titles will be used (if multiple pieces of content are used).
- You can also choose a thumbnail to represent the training course (this is only visible the delegates in the training dashboard).
- You can also specify an End User Title and Description:
-
Choose who you would like to include or exclude from the training. As seen in this example, we have it sending to All recipients except the Finance team. We also have it set to Automatically enrol new Recipients - This means any new recipients that are added to the address book after the course begins will be added to the delegates list and enrolled in the course.
- Select your start date and time zone. Welcome notifications (If selected during Step 6 - Notifications step of the wizard) will send out at whatever time you specify here.
-
As this course will run indefinitely for any new recipients, we will specify There is no end date for this training. Depending on how you wish to conduct your training course, you might prefer to set an end date
-
You can add or remove tags from delegates as they complete their training courses. This can be very useful if you want to chain courses together. For this course we have just given the user a "Completed Basic Training" tag.
-
Click the training content you wish to use, and it will move into "Selected Content" (Content can be filtered by clicking any of the 'Available Content' tags). NOTE: We recommend a "little and often" approach, so although you can add as much content as you like, try not to overload your users with too many videos at once!
-
Click 'CREATE NEW NOTIFICATION' and select Welcome. The welcome notification is very important; it is the notification that will be sent to all delegates as they are enrolled on the training course. Without it, how will they know to log in and complete their training?
- In 'Notification Recipient' select 'User' (this means the welcome email will go to the recipients, and not their managers).
- Choose a training notification template. You can choose one of Phishing Tackle's pre-made templates or you may have created your own, in any case, choose one suitable for this course.
We have two knowledge base articles that explain how to create and edit training notifications, and we provide training course notification examples. -
You can delay the sending of the notification initially if you wish, but for now, we will leave this blank (same as adding "0" into the field) so that our welcome notification goes out at the start time of the course.
- Add as many additional notifications as you may need. We recommend:
- A welcome user notification.
-
At least one user reminder (this can be repeated; just be aware if you have no end date, it will repeat indefinitely until the user completes their training).
- PLEASE NOTE: 'Reminder before due date' notifications requires you to specify an end date during the scheduling step of the training wizard; they will not function with relative training duration courses. If you wish to use a relative training duration, ensure you use a 'Reminder after Enrolment' as your notification type.
- You can also add a manager notification here to help encourage training participation. This notification will be sent to the 'Manager Email Address' details in each recipient profile.
-
One completion notification. This can be configured to thank the user for their participation and for taking the time to increase their cybersecurity knowledge.
-
On the Reporting page, you will be able to enable automated reports to be sent, which will provide you with information about this campaign. This setting does not have to be enabled. If you would like to learn more about report automations, you can read our guide here.
- Once you are happy with your training course configuration, click 'SAVE.' You can experiment with different training course and notification styles until you find that your users are fully engaged.
NOTE: Once a training course status is "Started" the training course cannot be edited.
